Chapter 8 - Electronic Records
Section 8.3 - Voice Mail
Effective: September 15, 1997
General
According to the Interpretation Act, voice mail is a record. The following guidelines apply to voice mail sent or received in the ministry:
Voice mail sent or received by government voice messaging systems is a government record and is therefore subject to the same records management controls as other government records, including:
- the disposition requirements of the Document Disposal Act
- the retention periods in approved records schedules
Most voice mail records are transitory records. When no longer required, they may be destroyed in accordance with the special schedule for voice mail (Schedule #112914 or Voice Mail Records, DRAFT). Refer also to chapter 6 of this guide.
Information held in government voice messaging systems may be subject to a request for information under the Freedom of Information and Protection of Privacy Act.
