8.2 E-Mail
General
The Interpretation Act definition of a record includes a provision for
electronic mail (e-mail). E-mail is therefore subject to the same statutory
and policy requirements as any other government record (see “References”
section). As a result, the records management standards and procedures
outlined in this manual apply to all MOF e-mail.
Definition: E-mail
E-mail is information sent and received electronically between terminals
linked by telephone lines or microwave relays. It includes point-to-point
transmission of data or information via computer.
Standards
E-mail Management
E-mail that meets the transitory record criteria set out in 6.5, Records
Scheduling -- Schedules for Special Categories of Records, may be
disposed of when no longer required.
E-mail that is required for ongoing legal, fiscal, audit, administrative, or
operational purposes must be transferred to a suitable storage medium,
classified, and retained and/or disposed of according to normal records
management practices (refer to chapters 3-7).
Note: Office Vision users can utilize PAFS (Print and File System) to add
file numbers to OV notes and forward them to a storage location. From
storage, these notes will be automatically sent to a support person for
printing and filing. For details on how to use PAFS, refer to the MOF
Office Vision User Guide, chapter 9.
