COMPLETION INSTRUCTIONS, ARS 118, RECORDS SERVICES APPLICATION

GENERAL INSTRUCTIONS
This form is used to apply for a records transfer to offsite storage, archives, or final disposition. It is used for this purpose in the following 2 ways:
  1. For records that do have an approved schedule, complete accession number field only.
  2. For records that do not have an approved schedule, or the schedule is pending, complete all fields.
The ARS 118 is also used to: When requesting off-site storage of records, a Client Authority to Apply Schedules (ARS 517a/b) and a Records Transfer Location List (ARS 011a) should be properly completed and attached to the ARS 118.

A detailed file list that includes file numbers, descriptions, date ranges, and applicable schedules must be included with each ARS 118 submitted. Forms FS 1079 (refer to appendix E), ARS 462b, or a word processor-generated list are acceptable formats for the file list. This is in addition to the ARS 011a (refer to appendix B) where a request for an offsite transfer is being made. Include a copy of this list for the MRO’s records.

An accession number is required for all records transfers. This number can be obtained from NEWBCIMS ((250)387-1583).NEW

NEWOn completion of the ARS 118, retain the yellow copy for your records and forward the white and pink copies, along with all required documentation, to the Records Management Section. The Records Management Section will sign and forward to BCIMS. BCIMS will make the necessary arrangements.NEW
