Ministry Responsibilities: Records Maintenance
Government records management policies require that ministries maintain
their records in physical formats that will:
- ensure the records’ preservation and security
- permit efficient access and retrieval
- promote cost-effective filing and storage
Ministry of Forests file creation and management standards and
procedures support this requirement by promoting standardization of basic
operations such as:
- selection of appropriate storage media (e.g., file folders, electronic)
- effective (i.e., consistent) labelling
- effective (i.e., cost effective, accessible, secure) storage
Definition: File
For the purposes of the standards and procedures contained in this
chapter, files are defined as the physical media used to store records.
